Billing

Billing is set per team. Select the team and open Billing. It has three tabs: General, AI Credits and Invoices.

Team Owners and team members with the Billing role can manage billing. Other members can’t open these pages.

Billing details

The General tab holds what appears on your invoices:

SettingUsed for
Company nameThe name on invoices.
Billing emailReceives invoices and every billing email, in addition to team Owners and Billing members. See notifications.
Billing addressPrinted on invoices, and used to work out sales tax or VAT where it applies.
Tax IDShown on invoices (for example, an EU VAT number). To remove it, clear the number and choose Remove.
Invoice languageThe language of invoices and receipts.

Changes apply to invoices issued from then on. Invoices already issued don’t change.

Payment methods

Cards are added on the General tab. A team can save up to 3 cards. The default card pays seats, on-demand usage and automatic AI credit top-ups.

  • Add a Card adds one. A team’s first card becomes the default.
  • Set as Default, in a card’s menu, makes it the default.
  • Remove, in a card’s menu, deletes it.

If a payment is overdue, adding a card makes it the default and charges the overdue invoice to it straight away. See failed payments.

Invoices

The Invoices tab lists the team’s invoices, newest first. View Invoice shows its lines: seats per project, each on-demand resource, and taxes. Download PDF saves a copy.

Flexkit issues an invoice:

  • at the end of each month, for the next month’s seats and that month’s on-demand usage;
  • when you upgrade a project or add members, for the rest of the current month;
  • for each AI credit purchase.

Each paid invoice is also emailed to the billing contacts.

Taxes

Prices exclude taxes. Where Flexkit has to collect sales tax or VAT, it’s calculated from the billing address and tax ID, and added to invoices and AI credit purchases. Keep both up to date before upgrading or buying credits.

Failed payments

If a charge fails, Flexkit retries it automatically during the following week and emails the billing contacts after every attempt. If the invoice stays unpaid, the team’s projects are restricted in steps. Days count from the date of the invoice:

DayWhat happens
0The charge fails. Projects keep working. The Billing page shows a banner with the read-only date.
7The team’s Pro projects become read-only: queries keep working, and changes, agent chat, automations and editor completions stop. This can happen earlier if every automatic retry has already failed.
21All the team’s projects are paused: their APIs, automations and agent stop. Your data is kept.
30The subscription is canceled and the billing contacts are emailed. The invoice stays due.

While an invoice is overdue, the team can’t upgrade projects or create new ones, and its Owners can’t create new teams.

Restore access

Pay the overdue invoice, in either of these ways:

  • Add a card on the Billing page (or make a working card the default). Flexkit charges the overdue invoice to it right away.
  • Choose Pay open invoice in the billing banner and pay on the invoice page.

As soon as the invoice is paid, the restrictions are lifted. If the subscription was already canceled, the projects come back on the Free plan, and you can upgrade them to Pro again.

Unpausing a project doesn’t lift a payment restriction. Only paying the invoice does.
